Can a workflow wait and check before it acts?

Yes. The workflow in the video waits two days, then checks whether a replacement has already been pitched or the customer has opted out. Only if not does it tag them, open a deal and send a friendly email.

Can automated emails be personalised for each customer?

Yes. The email is written once and each customer's details, such as their name and the kind of hot water system they have, are filled in as it goes out. You can preview it with a real customer to see exactly what they will get - nothing is sent from the preview.

How do I set up an automatic annual service reminder?

Start the workflow when a job is won (the deal's chance changes to Closed), add a wait of 330 days - about eleven months - then add the customer to a sales process, such as an annual health check board the office works through each week.

Will a workflow run before I have finished building it?

No. A new workflow is saved as a draft and nothing runs until it is switched on. Later changes to a live workflow stay in a draft too and only go live when released, so a working workflow is never half changed.

What workflows do

Workflows are Acme's extra pair of hands. Each one waits for something to happen, like a form being filled in, a tag being added, or a deal being won. Then it does the follow up for you: emails, tags, deals and sales processes, at exactly the right time.

Inside a workflow

Here's the one behind our hot water customers. It starts when a plumber records that a hot water system is over ten years old. It waits two days, then checks. Have we already pitched a replacement, or has the customer opted out? If not, it tags them, opens a hot water deal, and sends a friendly email.

Open any step to see its settings. The email is written once, and each customer's details are filled in as it goes out, like their name and the kind of hot water system they have. Preview it with a real customer to see exactly what they'll get. Nothing is sent from here.
