Every club or branch has its own Sales Intellect organisation: its own contacts, campaigns, workflows, team and reporting. What they share is the sending domain, and sharing it takes three steps, only the first of which touches DNS.
Whoever sets it up first (head office, or simply the first club to get going) adds the domain in Sales Intellect and is given a handful of DNS records. Once those are live at the DNS host, the domain is verified for the whole platform.
A later club or branch types the same domain into its own account and is told it is already verified. There is nothing to add at the DNS host, no ticket for IT and nothing for the first organisation to approve.
A club may only send from addresses it has proved are its own: we email a code to the address, someone with that mailbox enters it, and the address is theirs to send from. Verify as many as you like: events@, membership@, president@.
Each organisation sees only its own contacts, lists, campaigns and workflows. Sharing a domain shares nothing else: one club cannot see who another club emails.
A club sends only from the addresses it verified. It cannot send as another club's mailbox, and the organisation that did the DNS work is the only one that may send from any address at the domain.
Every organisation is a separate sender at our mail provider, so its volume, bounces and complaints are tracked on their own. Delivery reports, unsubscribes and statistics belong to the club that sent the email.
The first organisation's Sales Intellect account lists the records, offers them as a zone file, and re-checks them automatically until they are found. They are the standard records any modern email service asks for:
